ADMINISTRATIVE ASSISTANT

Salary: $14-$17 per hour based on experience; individual will maintain time sheet and be paid monthly 

Hours per week: 8-20, flexible days and time of day, historically 35-40 hours per month

Location: our church office with option for some off-site

Responsible to: this individual will report directly to the Pastor; there will be an annual review with the Pastor and a member of the Congregation Council.

Job Description: A key position for our congregation, this person serves as a main communicator, connector, and welcoming presence for Spirit in the Hills. This position has fiduciary responsibility to the Church, the Council, the Pastor and the Congregation. Some financial or personal information available to the individual chosen for this position is confidential and must be maintained as such.

Job Requirements:

  • Positive, professional attitude and code of conduct
  • Excellent communication skills – written and verbal
  • Manage information with a high degree of confidentiality and integrity
  • Experience in customer service, administrative assistant, or public relations role
  • High proficiency with Microsoft Word and proficiency in Microsoft Excel and database software
  • Prior experience in a similar fiduciary position is preferred

Responsibilities and Duties of the Administrative Assistant

 

Coordinates communications:

  • Weekly worship bulletins
  • Monthly volunteer schedule, with weekly reminders
  • Periodically special event media, internal and external church calendars
  • Occasionally updates church web site content and social media postings
  • Answer and make telephone calls
  • Notify Pastor regarding: births, deaths, weddings and other events of church members and families

Manages church documents/information:

  • Visitor follow-up, correspondence and administrative support for Pastor
  • Incoming and outgoing mail/email
  • Baptism, Confirmation, Membership tracking: forms/certificates
  • Church databases:
    • update church management software
    • enter congregational donations into offering database
    • produce reports for the Pastor, Council or Treasurer that will enable them to perform their fiduciary responsibilities

Manages church office and provides hospitality:

  • Warmth and professionalism in greeting and directing visitors/vendors in person and over the telephone
  • Office organized, generally tidy and welcoming
  • Maintain master calendar: coordinate ministry and event scheduling: church-wide events and special services
  • Maintain supplies/stock, replenishing as needed
  • Coordinates maintenance of office equipment
  • Other tasks and responsibilities as assigned by the Pastor
